CRM for Small Businesses in India: Costs, Options and When to Build Your Own
If your sales process is simple and your team is small, start with a Google Sheet or a ready-made CRM like Zoho CRM or HubSpot. Build a custom CRM when you are paying per-user fees for many staff, when you need WhatsApp follow-ups, GST-ready quotes or your own way of working, or when you want to fully own your customer data. For most small Indian businesses, the right answer depends on team size, how your leads come in, and how long you plan to use the system.
This guide explains what a CRM is in plain words, the signs you need one, what each option costs over three years, and how to plan a CRM project without wasting money.
What is a CRM, in plain words?
A CRM (customer relationship management) system is one place where every enquiry, customer and follow-up is stored. When a lead comes in, it goes into the CRM. Someone is assigned to call. The call is noted. The next follow-up date is set. When the customer pays, that is recorded too. The owner can open one screen and see how many leads came in this week, who is handling them, and which ones are about to go cold.
That is all a CRM really is. The fancy features come later. If you want a longer explanation of the difference between ready-made and custom systems, read what a custom CRM is.
Signs your business needs a CRM
- Leads are lost inside WhatsApp chats and nobody can find them a week later
- People who called or enquired were never called back
- Your Excel sheet has five versions, and each staff member keeps their own copy
- You spend money on Facebook, Google or Justdial ads but cannot say which one brings real customers
- When a staff member leaves, their leads and customer history leave with them
- You only know the month's sales after someone adds it up by hand
If two or three of these sound familiar, you are already losing sales. A CRM will not create new leads, but it will stop you wasting the ones you already pay for. If your problem is that leads are not coming in at all, start with why a website may not be generating leads.
Your three options: spreadsheet, ready-made CRM, or custom CRM
1. Excel or Google Sheets (free)
A shared Google Sheet with columns for name, phone, source, status, assigned to and next follow-up date is a real CRM for a team of one to three people. It costs nothing and everyone already knows how to use it. The problems start when more people edit it, when you need reminders, or when you want reports. Sheets do not remind anyone to call, and one wrong edit can mess up the whole file.
2. Ready-made SaaS CRMs (Zoho CRM, LeadSquared, Salesforce, HubSpot)
These are popular in India and they are good products. Zoho CRM is widely used by small and mid-size Indian businesses. LeadSquared is common in education and real estate. Salesforce and HubSpot are used more by larger or export-focused companies, and HubSpot has a free starter version.
Most of them charge per user, per month. There are usually several plans, and features like automation, advanced reports or extra integrations sit in the higher plans or come as paid add-ons. WhatsApp messaging is often billed separately too. The starting price can look small, but the monthly bill grows every time you add a staff member or move up a plan. Prices change often, so always check the current pricing page and ask whether GST is included.
3. Custom CRM (one-time build, then hosting)
A custom CRM is built for your business. You pay once to build it, then a small yearly amount for hosting and any later changes. There is no per-user fee, so adding your tenth or twentieth staff member costs nothing extra. The screens, stages and fields match how your team already works. The downside is a higher cost at the start and a few weeks of waiting before you can use it.
CRM cost in India: a simple 3-year comparison
Here is an example to show how the numbers work. These figures are only for illustration. They are not the price of any particular product, so please check current pricing before you decide.
- Example assumption: a ready-made CRM plan costs ₹1,000 per user per month, and you have 8 users
- Monthly bill: 8 × ₹1,000 = ₹8,000
- Yearly bill: ₹8,000 × 12 = ₹96,000
- Over 3 years: about ₹2,88,000, before any add-ons, WhatsApp charges or price increases
- If your team grows to 15 users, the same plan becomes about ₹5,40,000 over 3 years
Now compare a custom CRM. With GrowVibe, a custom CRM starts from ₹79,999 as a one-time build. Hosting for a small CRM usually costs roughly ₹10,000 to ₹30,000 a year, depending on the number of users and how much data you store. Add some budget for small changes as your business changes. The total does not go up when you hire more staff.
The simple rule
If you have 2 to 4 users and a standard sales process, a ready-made CRM is usually cheaper and quicker. If you have 8 or more users, or you keep paying for add-ons to make the software fit your work, a custom CRM often costs less over 3 years and fits better.
What Indian small businesses need from a CRM
Many CRMs are designed for offices in the US or Europe. Indian businesses work differently. Before you choose, check that your CRM can handle these things:
- WhatsApp follow-ups: one tap to open a chat with the lead, plus saved message templates
- Call logging: note what was said after each call, and set the next call date
- Hindi or Hinglish notes: staff should be able to write "kal call karna, fees ka sochenge" without any problem
- GST-ready quotes and invoices, or a clean export to Tally for your accountant
- Mobile-friendly screens for field staff working on 4G phones, not only on office computers
- Lead import from IndiaMART, Justdial, Facebook lead forms and your website enquiry form
- Simple roles: owner sees everything, staff see only their own leads
Some of these are available in ready-made CRMs through add-ons or third-party connectors. In a custom CRM, they are built in from day one.
How different businesses use a CRM
Coaching institutes
Admission enquiries come from walk-ins, phone calls, WhatsApp and Facebook ads. A CRM tracks each student enquiry from first call to demo class to admission and fee payment. The counsellor sees who to call today, and the owner sees which batch is filling and which ad is working.
Real estate
Leads need fast calls and site visits. A real estate CRM records the buyer's budget, preferred location and property type, schedules site visits, and reminds the agent to follow up after the visit. It also shows which projects get the most interest.
Clinics
Clinics can track enquiries, appointments and follow-up visits, and send reminders on WhatsApp. Patient records need careful access control, so only the right staff can see them.
Distributors and dealers
Field staff visit shops and dealers, take orders and note payments due. A mobile CRM lets them log visits from their phone, and the office sees orders, outstanding amounts and which areas need more visits.
Travel agents
Travel enquiries need quick quotes and many follow-ups. A CRM stores the travel dates, number of people and budget, keeps every quote version, and reminds staff to follow up before the customer books somewhere else.
How to plan a CRM project
- 1.Write down your current process on one page: where leads come from, who calls them, what the stages are, and when a lead counts as won or lost
- 2.List who will use the CRM and what each person should see
- 3.Collect your current Excel or Google Sheets data so it can be imported
- 4.Decide the 3 to 5 reports you actually want, such as leads by source or follow-ups due today
- 5.Start with the must-have features only. Add extras after your team is using it every day
- 6.Plan a short training session and make one person responsible for keeping data clean
Whatever you choose, the biggest risk is not the software. It is staff going back to WhatsApp and paper because the CRM feels like extra work. Keep it simple, and make sure it is quicker to use than the old way.
How GrowVibe can help
GrowVibe builds custom CRMs from ₹79,999, usually in 4 to 5 weeks. That includes a leads pipeline, staff roles, dashboards and import of your existing spreadsheet data, with 60 days of support after launch. If you need something smaller, like a simple enquiry and follow-up portal or a student or customer login, a web app or portal starting from ₹69,999 may be enough. You get a fixed written quote before work starts, and the code and hosting are in your name.

Frequently asked questions
For a team of two or three people with a simple process, a Google Sheet or a ready-made CRM like Zoho CRM or HubSpot's free version is usually enough. If you have many users, need WhatsApp follow-ups, GST quotes or Tally export, or have a process that does not fit standard software, a custom CRM is often a better long-term choice.
